Have You Looked at Your Email Signature Lately? Here’s Why You Should

When you’re busy reaching out to your professional contacts and associates, don’t overlook the impression you make when sending a simple email. You want your email recipient to feel confident about working with you so both your message and your email signature need to make you appear professional and credible.

Here are some things to keep in mind when putting together your email signature:

Keep It Simple

Since many people now read emails on their smartphones, you don’t want to clutter up the screen with too much text or use an image with a logo that won’t end up loading on the phone. Try to fit everything into one line for a clean and professional look. Add links where appropriate and avoid any extra words to keep things simple.

Avoid Images

Images in emails can label your email as spam and also cause slow load times on a smartphone or mobile device. Avoid using images in your emails so the email has a higher chance of landing in the recipient’s inbox.

Link Out to Social Profiles

Don’t be afraid to introduce your contacts to social networks your company is active on. Just remember to link out to professional profiles and monitor those accounts regularly so you are making the right impression. Sites like LinkedIn and Twitter are some good options to attach to your email signature.

Use a Call to Action

If you have an event coming up or other news to share, don’t be afraid to incorporate that in quotes within your email signature. This can be a simple and effective way to get some attention from the recipient and even encourage them to pick up the phone and call you. It’s also a good icebreaker if you are introducing yourself to somebody new.

Paying attention to your email signature is an important part of your company branding and presentation. A few quick updates and edits could be all you need to make your email signature look more professional and convey credibility and trust with whomever you come into contact with online.
